ROBI (hereinafter "ROBI", "we" or the "Platform") is responsible for the processing of personal data collected through its website and application.

This Policy is governed by Personal Data Protection Law No. 25,326 of the Argentine Republic and supplementary regulations.

II. Personal Data We Collect

ROBI collects the following types of data:

First and last name
Email address
Password (stored securely using hashing)
Profile photo (optional)

2. Service usage data

Audio or video recordings uploaded by the user
Generated transcripts
Notes, documents and content created
Organization of folders, tags and activity within the platform
Metadata (date, duration, file type)

3. Technical data

IP address
Device type, browser and operating system
Access and usage logs
Cookies and session data

4. External credentials (optional)

API keys provided by the user (stored encrypted)

III. Purpose of Processing

Personal data is used to:

Provide the transcription, summarization and assistance service using artificial intelligence
Manage user accounts (registration, authentication, access recovery)
Improve the user experience and the operation of the Platform
Send communications related to the service
Ensure the security of the system and prevent fraud
Comply with legal and regulatory obligations

IV. Legal Basis for Processing

Data is processed on the basis of:

The user's consent when registering for and using the Platform
The performance of the service usage agreement
Compliance with legal obligations
Legitimate interests related to improving and securing the service

V. Processing Using Artificial Intelligence

ROBI uses third-party artificial intelligence services to process content.

In particular:

Recordings may be sent to external providers for transcription
Texts may be processed to generate summaries or automated responses

                ⚠️ IMPORTANT — The user acknowledges that processing is automated, that results may contain errors or inaccuracies, and that ROBI does not control the internal workings of these systems.
            

We recommend not including highly confidential information in the content processed.

VI. Sharing Data with Third Parties

ROBI does not sell personal data.

However, it may share information with third parties in the following cases:

Technology providers required for the operation of the service (for example, AI processing)
Compliance with legal obligations or requests from a competent authority
Protection of the rights, security or integrity of the Platform

In all cases, access will be limited to the data that is strictly necessary.

VII. International Data Transfers

Data may be transferred to and stored on servers located outside the Argentine Republic, including the United States.

By using the Platform, the user:
Expressly authorizes the international transfer of their data, acknowledges that such countries may not offer equivalent levels of data protection, and accepts processing by external providers.

ROBI takes reasonable measures to protect information but does not guarantee how third parties process the data.

VIII. Data Retention

Data will be retained for as long as necessary to fulfill the stated purposes:

Account data: while the account remains active and for up to two (2) years afterwards
Generated content: until deleted by the user
Technical logs: up to ninety (90) days
Billing data: in accordance with applicable legal retention periods

IX. User Rights

Under Law No. 25,326, the user may exercise the following rights:

Access to their personal data
Rectification of inaccurate data
Erasure of data
Objection to processing in certain cases

The data subject has the right to exercise access free of charge at intervals of no less than six (6) months, unless a legitimate interest is shown.

X. Information Security

ROBI implements appropriate technical and organizational measures to protect personal data, including:

Encryption of data in transit (HTTPS/TLS)
Encryption of sensitive data
Secure storage of credentials
Protection against unauthorized access
Monitoring and vulnerability prevention systems

Nevertheless, the user acknowledges that no system is completely secure.

XI. Cookies and Similar Technologies

ROBI uses cookies necessary for the service to work, including:

Session management
Security (protection against improper access)
User preferences

The user can set their browser to reject cookies, which may affect how the service works.

XII. Minors

The Platform is not directed at children under 13.

ROBI does not knowingly collect data from children under that age.

Users between 13 and 18 years old must have authorization from their legal representatives.

XIII. Changes to the Privacy Policy

ROBI may modify this Policy at any time.

Changes will be notified through the Platform or by email.

Continued use of the service will constitute acceptance of the updated version.

XIV. Supervisory Authority

The enforcement authority is the Dirección Nacional de Protección de Datos Personales (Argentina's National Directorate for Personal Data Protection).
